Advanced Tips to Streamline Your Everyday Printing Efforts

If you’ve been with us for a while, you probably aren’t new to the Printing rodeo. We’ve covered tips in the past, and we’re doing it again. This time, we’ll be exclusively covering advanced tips that can help streamline your everyday printing efforts.

  • Convert to CMYK for Color Printing

Say goodbye to RGB, and say hello to CMYK. The traditional RGB color space uses red, green, and blue, while CYMK uses cyan, yellow, magenta, and key (black). With a 4-color process, CMYK helps to achieve true color and ensures that color is printed as accurately as possible.

  • Use Software to Print Around the Clock

Need to print lots and lots of documents, but only have a couple of printers on hand? You can automate the printing process, and make your life easier. Use tools like FolderMill and 2Printer to plan document printing at specific times or as a recurring task. This means your team can continue printing necessary documents even when everyone’s done for the day.

  • Print in File Batches

Open the file, ctrl+P, wait for it to print, and repeat. Did you know you don’t actually need to open each individual file to print? Here’s how. Use a batch printing program like FolderMill and 2Printer (the same ones for the above tip) to start a print job containing multiply files. From just two to an infinite amount, you can add however many files you need.

  • Know Your File Formats

The file format matters when it comes to printing. Here’s a quick cheat sheet for your reference:

  • For pamphlets and brochures, or anything with graphics – use vector formats like AI, SVG, or EPS.
  • For documents that are exclusively photos or images – use PNG, TIFF, or JPG (maximum quality and without compression).

When in doubt, we recommend using the PDF format. It preserves raster and vector data well. PDF is a “universal” format, but some of the above may offer advantages depending on what you need. For example, SVG-formatted files are smaller and lightweight when compared to PNGs and PDFs.

  • Improve Print Quality By Printing as an Image

Not happy with the print quality of your important documents? Does the text look smudged or do the lines look too thin? Whatever the issue, try printing as an image. The rendering process will take some extra time, but the quality is worth it. Of course, try to limit your use of this technique as it can consume excess ink.
