Google Docs & Gmail Generative AI: Google Gets Ahead of The Competition

Google has been one of the key players in the high octane race towards bringing AI to the masses. While Microsoft has been heavily investing in OpenAI to bring AI chatbots to their Office 365 suite and other software, Google chose to focus on their online tools.

With a large audience using Google’s online tools, their new AI extension could be a game changer, but what does it do exactly ? Let’s find out !

5 Features of Google Workspace’s AI

1. Helping You Write

The main feature Google is putting forward with their new AI extensions, is how it can help you write in Gmail, and Google Docs. The generative AI used by Google works like Chat-GPT, and you simply have to ask it to generate text on a topic to get a draft you can check and edit.

In Gmail, the AI can also make suggestions while you’re typing, and help you reply to mails you receive. This allows you to type faster, and ensure you’re sending the perfect message.

2. Auto-Generated Media

If you’re using Google Slides to make presentations, Google’s AI will be super useful to you. It lets you create auto-generated videos, audio, and images to fit the topic of what you’re working on. This is a huge time-saver, especially if you’re working on a subject which requires media to be engaging, and if finding the right content is hard.

3. Automatic Categories

Gmail, like any mailbox, offers categories. Before, these categories were generic, and you had to manually create specific categories. However, with this new AI, Gmail can now automatically categorize your emails. It can rearrange your emails in tabs, using machine learning based on a neural network and heuristic algorithms. Google assures it respects users’ privacy by putting safeguards preventing the AI to store any specific individual data… unless you give your consent!

4. Interconnecting Google’s Ecosystem

In addition to all these services, Google’s AI promises to make navigating and transferring content from one another more seamless. It can be turning a note into an email, or linking a spreadsheet to your Google Doc. Of course, it was already possible, but it makes the process easier with a smart tool that won’t force you to be an expert.

5. Improving Summary Cards

Summary cards are a convenient solution for situations where you receive a message containing a lot of information, but you only need a small portion of it. By using heuristic and machine learning algorithms, summary card technology automatically identifies the message type and extracts the most important content.

Instead of scrolling through the entire message, a summary card is displayed at the top, providing key details such as flight dates and duration or the names of ordered items. Summary cards can also be found in confirmation emails for hotel bookings, restaurant reservations, ticketed events, and Google Calendar invites. With calendar invites, you can easily modify your response and view other events for the day directly from the summary card.

Baby Steps Towards Creating an AI Workspace

Google’s approach differs from Microsoft’s. Instead of announcing a slew of new features, drowning the user in information. Google changes almost nothing about their ecosystem, it simply uses AI in the background. You may not even realize you’re using AI, unless you take a close look. It’s a smart approach to help users get accustomed to this new technology without scaring them away.
