Non-Profit Administrative Assistant (Part time job)

Temp to hire role for an Oakland non-profit organization dedicated to empowering young Black men aged 18-25 through career counseling with a STEM focus. The mission is to provide opportunities, guidance, and Support to help them succeed in their educational and professional journeys.

Position Overview:

We are seeking a highly organized and motivated Administrative Assistant to join our team. This is a part-time, remote position that allows you to create your own schedule, requiring approximately 20 hours per week. Additionally, there will be one virtual Meeting per month that you must attend to take notes - it is in the evening.

Key Responsibilities:

+ Meeting Support: Assist in establishing, managing, and recording action items/minutes of Board meetings. Schedule meetings at the request of committee chairpersons and record/transcribe minutes.

+ Document Management: Establish and maintain a filing system, both digital and physical, to ensure efficient organization and retrieval of important documents.

+ Database Management: Maintain contact lists of all our organization’s supporters and create/maintain a database of applicable scholarship programs for our scholars.

+ Mentoring Coordination: Schedule mentoring/check-in meetings with our scholars and record/transcribe minutes to ensure effective communication and support.

+ Grant Compliance: Review grant guidelines and expenditure compliance to help secure funding for our programs.

+ Community Engagement: Assist in coordinating relationships and corresponding with donors, partners, college districts, and interested organizations.

+ Online Presence: Assist in updating our website and managing related social media platforms to help us reach a wider audience.

+ Additional Tasks: Perform other duties as directed by the organization to support our mission.

Requirements

Qualifications:

+ Strong organizational and time management skills.

+ Excellent written and verbal communication skills.

+ Proficiency in office software (e.g., Microsoft Office Suite).

+ Ability to work independently and remotely.

+ Previous experience in administrative support roles is a plus.

Location: Remote, with occasional in-person attendance for events or meetings as needed.
