Client Services Associate / Administrative Assistant (Part-Time)
Location: 100% remote
15-20 hrs/wk
JOB DESCRIPTION
This position supports a female CFP® professional who specializes in serving women and their unique needs. She is passionate about empowerment through knowledge and guides individuals and families in building comprehensive financial plans and developing customized strategies to achieve their financial liberation. The team offers highly sophisticated comprehensive financial planning and asset management while providing clients with an extraordinarily high level of service.

- Accurately complete all investment account opening paperwork and insurance applications electronically and prepare for DocuSign.
- Interfaces with back office of broker/dealer, fund companies / custodians, and insurance companies to handle NIGOs and service requests.
- Works directly with clients on service requests, questions, address changes or beneficiary changes.
- Enters and maintains compliant client and prospect records in CRM system (RedTail).
- Develops working knowledge of any systems as they may be implemented.
- Understands and adheres to policies regarding support from wholesalers, compliance approval for documents and other required procedures.
- Reports IARs in RedTail and Envestnet.
QUALIFICATIONS
- Bachelor’s Degree; Business or Finance-related focus is preferred.
- 3+ years of experience in administrative support that directly aligns with the specific responsibilities for this position.
- 2 years of wealth management experience is preferred (including insurance application and underwriting process).
- You are an experienced administrative professional who is energetic and enjoys working in a fast-paced environment.
- You have an easy-going, flexible, “can-do” attitude and a desire to be part of a rapidly growing, professional team.
- You are highly organized, and your natural tendency is to be constantly looking for ways to grow and improve.
- You enjoy filling out forms thoroughly and accurately, and you are tenacious at following through on details.
- You are self-directed and resourceful and like to figure things out on your own.
- You know how to juggle a calendar and handle logistics of meetings and service requests.
- You also love serving customers and people comment on your warm and professional phone presence.
- Most importantly, you want to be able to apply your many talents and feel valued for your quality work.
- Proficient in Microsoft Office (Outlook, Word, Excel, OneDrive); CRM Software; Adobe Acrobat (Standard).
- Excellent ability to quickly learn and become proficient with new software systems.
