Adding Pricing Libraries to Customers in Prophet 21

In today’s video, we are talking about adding sales price pages, books, and Libraries to customers in Prophet 21. In our last two tutorials, we covered the basics of the Sales Price Page and how to use the Sales Price Book and Library combination for customer pricing.

Getting Started: Customer Maintenance

To begin, head to the Customer Maintenance section on the Sales Pricing tab. Your pricing method must be set to pricing libraries for libraries to take effect. You can have all the libraries you want down at the bottom, but if the method is not set to pricing libraries, it will not matter.

Library Checkboxes

One important checkbox to note is Use Lowest Price Across Libraries. If an item exists in multiple libraries, books, or pages, this feature automatically reviews all of them and selects the lowest price.

Job/Contracts

The Job/Contract Pricing setting does not actually have anything to do with using libraries. However, if an item appears on Job/Contract Pricing, and you also have the Use All Contracts settings checked, P21 will pull the pricing from the Job/Contract before the library. It will see that the item exists on a contract and pull that pricing no matter if it exists in libraries.

How to Add a Library to a Customer Account in P21:

Next, we’ll move to the bottom tabs. Similar to housing multiple books in a library, you can associate multiple libraries with a single customer.

  • First, simply click the plus (+) symbol to input a previously created library.
  • Down below, the Sequence column filters down the price books.

If you do not have the Use Lowest Price Across Libraries setting checked, and Prophet 21 finds the item’s pricing in the first library, it will choose pricing from there and will not look at any others. In our last tutorial, we looked at choosing a price Type when creating a library. Those settings were all contained within the library. One library contains all the First Of, Newest Of, Lowest Of, etc… types, so be sure you are taking note of your sequencing number.

If you want to change the sequence, you can manually enter the order you want it to go. However, another way to change the sequence is to highlight a pricing library and use the Move Up/Move Down buttons. Located on the bottom right side of the screen, these buttons will automatically shift the library sequences.

  • Finally, to complete the process of adding a pricing library to a customer, select the Save button. Next time you enter an order, if an item lives in the first library, Prophet 21 will automatically pull pricing from there.
