The post 7 Salesforce Hacks and Shortcuts You Didn’t know About appeared first on Cynoteck.

So, you’re a Salesforce user? Do you enjoy using it or it makes you more productive?

I’m certain that if we took a survey of users right here, we would have an enormous difference in answers. Besides, your company would have invested in Salesforce to assist you in executing your job more effectively, so you can pay attention to the significant tasks.

But at times without correct training and user adoption, most users don’t really see this benefit. Salesforce has several great and amazing features that you can start using right here and now, and definitely, when you’re done reading this post you will be able to use it properly.

This post is split into two sections, an entire tips section that will give you 4 features that any user can make use of, and 6 from the Lightning Experience.  Well, if you haven’t heard of the Lightning Experience, it’s Salesforce’s new layout that has some significant awesome features.

Let’s get started with the first section that will cover tips that any Salesforce user can make use of, irrespective of your layout version.

1. Start Creating List Views

The List Views are Salesforce’s method of managing various sets of data within Objects. If “Recently Viewed” “My Open Leads” or “My Cases” mean something to you then, these are your list views.

But are you aware that you can create your own List Views? You can slice and dice your data whichever way you desire in order to adequately manage your records and your day. For instance, during your day job at work, you can manage your leads by using 3 List Views that you can create. Then, number them in the order that you would chronologically access them every day, first, your New Leads to make sure I respond rapidly, then you’re In Progress leads you’re presently working on, and lastly the Leads you’re Nurturing. This can be done for any Object in Salesforce and I expect you would agree, it’s much better than managing out of one dreadful List View with an intense amount of data!

2. Use Chatter to Collaborate

Have you ever heard of Chatter? Well, you might have seen the term around Salesforce or not. Nevertheless, I will still explain to you what it is. Chatter is a social collaboration tool that enables your business, customers, and partners all collaborate.

The initial and most instant way you can use Chatter is on records in Salesforce. Chatter will probably be available on every record in your Salesforce Org. This can be found in classic and also in Lightning. You can also upload files, images, write comments, “@” your manager, your subject matter expert, or the sales engineer to ask for them for any assistance. The moment you and your organization get accustomed to using chatter, collaboration on records becomes more comfortable, and it stays on the record infinitely.

3. The Fundamentals – Tasks, Activities & Emails

If you’re not utilizing tasks, activities, and emails, then you are definitely missing out on some of the most important functions of a mighty CRM system.

The three things above (Tasks, Activities, and Emails) do demand you to insert a small amount of additional data into Salesforce which some may refer to as “Admin”, but believe me, it’s totally worth it.

  • Activities: It allows you to log interactions that have occurred with your customer, record vital meeting notes, or concise comments about why you interacted with that client.
  • Tasks: It enables you to create an action for yourself to follow up with. You can set a date, reminder, and a concise description. Besides, you can also set tasks for others too.
  • Emails: It allows you to send emails out to clients directly from Salesforce. You can perform this from the comfort of Salesforce, taking the opportunity of time-saving features such as Email Templates. The email will also save to Salesforce automatically so you don’t have to log that activity.

Lightning Salesforce User Tips

Let’s take a look into the productivity features that are capable to use with Lightning. If you don’t have it active now, kindly forward this article to your Admin or manager to persuade them on activating it.

· Density

This is an amazing tip. Concealed up in the right-hand corner menu you can control the screen layout with 2 options (Comfortable and Compact). These will transform the amount of information revealed on the screen at once, and if you want to add in as much in as possible.

· Kanban View

The List Views have lots of awesome functionality in Lightning with the likes of pinning, resizing columns, etc. But one of the extraordinary list features is the ability to view records of diverse stages grouped together in a wonderful looking Kanban or pipeline.

To activate this, you are expected to have a List View which displays a few fields and is grouped in a specific way. One of the best examples to use here is Leads or Opportunities, make sure you have the stage or status field on the list view and voila, Kanban enabled for you.

· Customize Navigation

The Navigation Bar in Salesforce Classic has been quite mundane, you can select the tabs that display, but that’s about it. Well, be ready to have total control over what is displayed in your navigation bar. There are three major things you can do with the navigation bar, you have the ability to rename, reorder and you can pin list views and records.

You just have to click the pencil icon on the far right of your navigation and you can reorder items, and rename any custom list views or records you have added to the navigation bar.

· Favorites

Another simple but fabulous productivity feature in Lightning is the addition of favorites. Well, click the little star icon present in the above image next to a profile picture whenever you are on any page in Salesforce, and you will favorite it just like in a browser. This implies that by just clicking the dropdown arrow next to the star, you can also access your favorite records anytime you want.
