Receptionist/Administrative Assistant at Konga Fitness

Responsibilities:

- Greet and welcome patients and visitors in a friendly and professional manner

- Handle all inbound and outbound communications, whether on the phone or by email

- Provide exceptional customer service; identify customer issues and/or complaints and handle them in a professional manner

- Maintain cleanliness and organization of the reception area and the gym

- Provide administrative support to the office staff and management team

- Schedule appointments and maintain calendars for multiple individuals on the Mindbody staff/customer management software

- Process payments and resolve any account or billing issues on the Mindbody Software

- Prepare and distribute correspondence, memos, and reports

- Maintain office/gym supplies inventory and place orders as needed

- Organize and maintain physical and digital files

- Assist with data entry, record keeping, and file management

- Coordinate team meetings, and event planning & setup

- Perform general clerical duties such as photocopying, scanning, faxing, and mailing

- Submit electronic insurance claims through TELUS Health & Sunlife billing portals for Physiotherapy, Chiropractic & Massage Therapy Sessions.

Requirements:

- Knowledge of Mindbody Software is a MUST

- Previous experience as an administrative assistant/receptionist OR worked in a gym is a MUST

- Proficient in using Google Suite (Docs, Sheets, Slides) and Microsoft Office Suite (Word, Excel, PowerPoint)

- Excellent communication skills, both written and verbal

- Strong organizational skills with the ability to prioritize tasks and meet deadlines

- Attention to detail and accuracy in data entry and record keeping

- Ability to maintain the confidentiality of sensitive information

Required Availability

MONDAY to FRIDAY: 12pm-4pm (subject to change based on business needs)

Job Type: Part-time

Salary: From $17.00 per hour

Expected hours: 20 – 25 per week
