Basic instructions while using TallyERP 9

Tally.ERP 9 was developed in the year 1986, about 3 decades ago. And ever since it has been expanding its market share worldwide. About 1.6 million customers are reported to be using Tally.

The SME’s in India are the target audience for Tally. As this Software handles not just accounting but many other functions like Payroll, Inventory, Banking, Statutory, etc. at an affordable cost. Overall Tally ERP 9 is the best software an SME can use as this software is commonly used and thus training is not usually required for handling the software.

While most users know how the software works, it is very important to keep in mind certain things to ensure the healthy working of your software.

  • Always ensure proper shutdown

Well, this is a no brainer! But often we are too careless to shut down the computer. It is very important to first exit tally and then close all other apps that may be running in the back end and then finally shut down the computer. This mistake is more common than we admit it and may lead to the computer being affected and thus affecting the performance of Tally as well.

  • Timely Backup

As a Tally user, the most important thing we take care about is the data. To maintain accurate and timely data is the primary purpose of maintaining Tally software. Data loss is probably the biggest fear of any accountant. We cannot say when the data may go corrupt or missing and thus we must always have a backup in place.

It is a thumb rule to atleast take a backup at the end of the day to ensure you have a backup to your rescue in case of any data mishap. (There are also tools available like Smart Backup ++ which can solve the issue by taking automatic backups)

  • Data

Data management in your software is important. Since Tally is a data-oriented software, it may have to handle a lot of data. So to keep Tally Running Smoothly, you must always stack your data in different stacks. Understand this analogy, if you go on stacking one coin over the other there comes a time where you understand the risk and instability of adding one more coin over the stack. And thus you don’t stack it but create a new stack. Similarly, you can only stack a certain amount of data in Tally after which you need to create a new stack.

Stack here resembles the company. So what you can do is always split your data every new year i.e. Every time a new year starts, you create a new company and then enter the data in it or else your stack or company may get unstable.

  • Operating system

The higher the bit and RAM of the system, the better is the performance of Tally. A 64-bit processor will require 4 GB RAM storage for processing and a 32-Bit processor will require 2 GB RAM for processing. Thus it is recommended to have atleast 4 GB RAM for the smooth functioning of Tally.

  • Backend Apps and Processes

There is a possibility of Tally running slow or its performance being affected in case there are many apps or heavy apps that consume more RAM. So you can either close these apps or purchase a system with higher RAM and a better processor

These are some very basic requirements or instructions that you can follow as a Tally user to get your Tally running smoothly. Often we have a lot of knowledge about the how and why of the various Tally features but we often miss out on the basics.
