How to use Power BI alerts and Flow to send alerts to different groups based on the value of the alert


As Sirui and Ruth showed Power BI coupled with Flow solve a lot of business problems around making data more actionable:

During last several Power BI presentations have asked when are we going to extend alerts to enable more complex scenarios specifically showing how to send to different people/groups based on the value in the Power BI Alert.

Not wanting to steal Sirui’s future efforts i wanted to cover how you can do this now with Microsoft Flow.

The first step is to create an Alert in Power BI…This can be done from a Card, KPI and the Gauge.  The reason only these three visual are supported is due to the fact they are the only three visuals that only display ONE value.

If you haven’t created an alert before you need to pin on of those three visuals from a report to a dashboard then edit the visual in the Dashboard selecting the “bell” icon.

Which will open the dialog below where you can set the alert threshold value, the frequency and who you want to send the email to.

It is worth pointing out the alert in the image above is actually on a streaming dataset…made possible by toggling the Historical analysis on(see below).

Then creating a report off this dataset using the graph icon in front of the dataset (see arrow below)

While i could start from Scratch there are a couple of templates that will save me time:


While either of those templates would work as a starting point i have opted to use the Office365 template

From this template add a condition…In this case using the title value.


In the condition i am checking the value and send email to LOTs of people if I am way over the team’s limit versus just send to the direct team if just over
