New students: How to create a USI

What is a USI and why do you need it?

In the past, collating Training history and information for Voc Ed trainers and students has been challenging, as we did not have a central database where this information was stored. Thankfully, 2015 has brought some changes as to where and how your training history is stored and accessed, making it easier and more efficient to find your completed units and qualifications online. As a new Student, you are required to obtain a Unique Student Identifier (USI), and relay that USI to us. A USI is a code made up of numbers and letters, that will give students access to their USI account. This account will be linked to the National VET Data Collection, allowing individuals to see all of their training results from all RTOs, as well as completed training units and qualifications.

Let’s take a little more in-depth look at the USI requirements.

It’s now a government requirement, since January 1 2015, that all students commencing a course with registered training organisations (including schools, universities and private providers) must apply for a USI and notify the training provider before any certificate or other qualification can be issued. Once issued, the USI remains your ‘student number’ for life. If you have not yet applied for a USI, you will need to do so, and advise us of the number when it has been issued to you. When you notify us of your USI, we are obliged to verify it on the usi.gov.au website. To do this, we will need your full name (the one that you registered with) and your date of birth.

 

How do you apply for a USI?

To begin with, you must have one of the following forms of identification on you, whilst you are applying:

– Drivers’ licence

– Medicare card

– Australian passport

– Visa (with non-Australian passport for overseas students)

– Birth certificate (full Australian birth certificate only)

– Certificate of registration by descent

– Citizenship certificate, or

– Immicard

 

Then, follow the steps below:

STEP 1: Go to this website – usi.gov.au

STEP 2:  Click on the box that says ‘Create your USI’, then click ‘Continue’.

STEP 3:  Read the Terms and Conditions, and then click ‘I agree to the Terms and Conditions’. If you are applying on behalf of someone you must also click on the tick box marked ‘I confirm that I have the consent of that individual’.

STEP 4:  Click on ‘Next’, and then click on the button ‘Create USI’.

STEP 5: Enter your personal details as required, and hit ‘Next’.

NOTE 1: Items marked with an asterisk are compulsory.

NOTE 2: During this step, you will need to nominate the method of contact that you wish to use, to receive notifications about your USI.

STEP 6: Read the details to confirm that they are correct, and click on ‘Next’. If any details are incorrect, Click on ‘Back’ and re-enter the correct details.

STEP 7: Choose the form of identification that you are using, then hit ‘Next’.

Follow these steps!

STEP 8: Follow the prompts and enter the relevant ID numbers, then click on ‘Next’. The system will verify the document details that you have entered. Once this has been successfully entered, you will need to set up an account, with a password. Choose a password that is at least 9 characters in length. It must contain a mix of letters, numbers or symbols.

STEP 9: Choose two security questions and type in the answers to each. When finished, click on ‘Next’.

STEP 10: Your USI will be created and will be shown on the next screen. It will also be sent to you by the method that you nominated in step 5.

A USI will make it easier for you to collate all their achievements into one transcript, and ensure that no VET records are lost! Best of all, it’s free and available online, from any device that connect to the internet.  The USI is a part of the VET Reform Agenda, and helps to further the positive development and transparency of the VET sector. It helps in fostering a consistent, unified system across all states, for the storage of training information that is accurate and easily accessible for students and trainers alike. With 3 million enrolments in the VET sector every year, the USI is a much needed and timely tool for streamlining and synthesising data.
