About Primavera P6 Global Search and Replace – With an Example

Primavera P6 Global Search 

To apply Global Search and Replace, it involves three simple steps (As shown in the image above)

1. Select a list of Projects / EPS you want this Global Search to affect

2. Define Search and Replace criteria

3. Apply the criteria

P6 allows saving this as a template so that we can apply this again in future. Also, we can modify it and give access to this template to the user we want.

Permission requires to run Global Search and Replace

The Project security profile must require the perform Global Search and Replace option enabled. Also, you must have edit access to the project & activities so check the tab EPS and Projects & Activities, so that run and apply Global Search and Replace criteria for the projects under this Project Security Profile

Global Search and Replace – Example

Here I am going to create a template in Global search and run this to a list of Project. This template search project by owner name and replace the Project name and Budget that I specified. 

1. As you see in the below image, I have two projects where both the Project Owner is Govindan. Look at the Name of those projects, they are A and B respectively 

2. Click on the Actions and select Global Search & Replace

3.  The wizard opens on the screen. Here we are going to create a  template. Click on the Gear icon and select Add button under the Group you want 

     Global Templates => Templates created under this group will be available for all users

     User Templates => Templates created under the group will be available for the user who created it

4.Input a Template name, Select the projects/EPS you want to apply this criterion by moving from left to right 

5. The Selected EPS Project will move to the right as shown below

6. Here is the Search and Replace Criteria page. Below I have mentioned the pseudo code of  criteria I applied. 

Loop all  Projects:

If (Project Owner = 'Govindan' ) {

Replace:  project Name = Govindan & Original Budget = 10000

}

We can choose the following values in the corresponding combo boxes. 

Subject Area = Project / WBS / Activities / Resource Assignments

Define Search Criteria = And / Or

7. It will display the list of projects that are going to affect. Toggle on or off the check boxes on the projects where you don’t want to apply this criterion. Click on the Replace button 

8. Click Ok on the pop-up . That’s it. The Global search applied. 

9.  Refresh the EPS page. As you see below, the Project Name and Original Budget replaced as shown below. (Compare it with the image in point 1)
