Fundraiser and Event Coordinator (part-time)

Job Description

LOCATION:  BotSoc SA, Kirstenbosch National Botanical Garden, Cape Town
TERM OF EMPLOYMENT:  April 2024 – September 2025 (1.5 year contract potentially renewable)
JOB TYPE: Part-time (five-eighths work-week, in-office)
COMMENCEMENT DATE: As soon as available
REMUNERATION:  R30 000 – R35 000 Dependent on Level of Competency and Experience (Annual cost to company including benefits- Medical aid and Pension. Self-sourced – proof required)

MAIN PURPOSE OF THE JOB
To provide professional Fundraising coordination and support services through development and strengthening of funding streams, setting up, management and development of relevant operations systems and processes towards achieving BotSoc’s financial sustainability within the next 3-5 years.

WORK CONTEXT AND ENVIRONMENT:

  • Hours:  Typically, daytime working with occasional after hours and weekends to accommodate Fundraising events with flexibility on recouping time spent outside of normal working hours. Geographic spread across South Africa, 15 regional Branches of the Botanical Society. However, this position is stationed at the National BotSoc office at Kirstenbosch National Botanical Garden, Cape Town. 
  • Working Hours: Five-eighths day, 25hrs per week
  • Travel: Time spent travelling (excl. from/to work), when required  
  • Probation: 6-month period  Two three-month reviews will be conducted according to the delivery outputs identified for the various Key Result Areas. Failure to meet these deliverables may result in dismissal. 

Roles and Responsibilities

  1. Provide fundraising coordination and support to the GM and the relevant Committees and Branches with the development and execution of the strategic and operational fundraising plan with realistic outputs, targets, and timelines related to all aspects of fundraising; (20%)
  2. Implement and monitor the success of the Fundraising Strategy and Programme of Work while supporting the BotSoc staff and Fundraising Committee in their task to increase the organisation’s fundraising income, focusing especially on unrestricted income sources such as bequests/legacies and donations, through proposal conceptualisation, preparation, presentation and organising events during the year as are required in support of the associated tasks. (40%)
  3. Support the Marketing and Communications Committee and Finance Committee of the Botanical Society in its task to increase the organisation’s visibility, representation and increase membership income and donor potential amongst members and the broader public. (10%)
  4. Plan and implement fundraising and membership events, with the goal of contributing to BotSoc’s long-term sustainability (20%)
  5. Collaborate, support and liaise with staff, Council, branches, BotSoc committees, members, the broader public, partners and service providers on written, online, social platforms and printed material, reports, presentations and events to communicate BotSoc’s profile to further advance its fundraising efforts. (10%)

Qualifications and Requirements

  • At least a Code B Driver’s Licence with your own reliable transport
  • At least 3-5 years of written and verbal communication and presentation skills in a fundraising and/or management position
  •  At least 3-5 years’ of project administration and reporting experience
  •  At least 3-5 years’ experience of managing and organising engagements, formal meetings and events
  • At least 3 years’ experience in content development, project proposal, or project conceptualisation in writing
  • An excellent command of the English language, being BotSoc’s business language, and any other SA language will be an advantage
  • Advanced skills in the Microsoft and Google suites, and Canva or similar
  • Advanced skills in Excel and graphic representations of data
  • A proven record and experience in maintaining confidentiality and discretion within the professional environment
  • A professional, friendly, all-round accessible personal approach to communication, with a high level of understanding of etiquette and ethical standards in dealing with clients and colleagues
  • A stable lifestyle with a good work-life balance but with an understanding that this role requires work outside of normal working hours, which requires flexibility and adaptability
  •  At least 3 years of regular presentation experience to groups and clients, with proficiency in coordination and presentation on online platforms, such as Zoom
  • Experience of planning and implementing a range of events, from small, intimate gatherings to large social functions and galas
  • Good time management and scheduling, and doing so under pressure of deadlines in a dynamic organisation
  • A proven record of innovation, creativity and demonstrative initiative that sets you apart
  • Ability to work in a small team, within an NPO environment with a ‘can do attitude’ while liaising with a number of external clients
  • Maintain, develop, analyse and reconfigure a member database for targeted purposes (currently housed in Excel)
  • Demonstrated ability to be organised, structured, disciplined and accurate in managing logistics for operations and events
  • At least 3 years’ experience managing budget planning, expenditure, monitoring and reporting
  •  Dedication and commitment to building a reputable NPO for plant conservation through practising personal integrity, honesty, transparency, objectivity and being conscientious and punctual
  • Have an understanding of BotSoc and passion for supporting the unique biodiversity wealth of South Africa
