Records Supervisor / Calfee, Halter & Griswold LLP / Cleveland, OH





Responsibilities include, but are not limited to:

Provide the Records Manager with information relating to the management, security, integrity and maintenance of legal records systems as it relates to RIM related data and business processes, including but not limited to security measures and software acquisition.

Works closely with Records Manager regarding implementation of RIM and new business intake policies, procedures, programs and user services to ensure conformity between offices.

Facilitates the firm's retention and destruction program. Responsible for RIM quality assurance and examining automation enhancements.

Coordinates workflow and assesses priorities for the RIM staff, which includes assigning responsibility for special projects, arranging adequate coverage when staff members are absent, assessing the need for overtime, in addition to training and assigning work to interns and other temporary staff.

Ensures quality control in correspondence through proofing and editing the RIM department work product.

Supervises staff, providing guidance and acting as a team leader/builder. Monitors attendance and assists with processing employee timesheets, and provides feedback to staff relating to performance.

Assists Records Manager in the facilitation of client and business services, including new employee orientations, attorney arrivals and departures, as well as transfer of files to departed attorneys, clients and/or new counsel.

Prepares conflicts reports and statistical reports. Assists in gathering metrics for tracking usage throughout the firm in order to help the Records Manager assess current issues relating to RIM and new business intake.

Creates, organizes, and maintains routine files as necessary.

Provides backup support for RIM department and Litigation Docket staff.

Assists secretaries, paralegals, lawyers and other department personnel with RIM needs and requests.

Maintains departmental files, logs, and tracking reports in accordance with established procedures.

Provides up-to-date information regarding RIM operations on firm's Intranet site.

Participates on special project teams as requested.

Other related tasks and duties as assigned by department manager.

Qualifications and Experience:

High school diploma; College coursework preferred

1-3 years supervisory experience required

3+ years of experience in RIM department required

Prior RIM supervisory experienced preferred

Prior experience working in a law firm preferred

Previous experience utilizing specific, automated RIM system required. Demonstrate knowledge of basic Microsoft Windows functions (Windows 7 or later preferred), and database experience required

Strong initiative required in addition to the capability to work independently with minimal direct supervision. Ability to work productively with all levels of firm personnel while participating as a team member

Ability to perform complex analytical or interpretive tasks

Effective oral and written communication skills, including the ability to interact effectively with firm personnel at all levels and with a high degree of professionalism

Possess a high degree of organization, flexibility, and reliability in order to set priorities, and manage multiple responsibilities to ensure deadlines can be met

Minimum typing speed of 40 accurate words per minute required.

Ability to acquire new skills as technology advances and as the firm requires
