Job Position:Office Manager
Post Jobs Status: Full Time
Job Posting Location: Tamale, Ghana, West Africa
Job Position Role & Responsibilities:
- Keep track of updates to procurement processes and implement all new and improved administrative procedures in line with good procurement processes
- Procure equipment and services as requested
- Request quotes or bids in accordance procurement policies and procedures
- Develop and maintain a monthly procurement plan
- Develop and maintain a list of vendors and update the vendors source list annually to ensure competitive prices and offers
- Prepare and finalize requisition forms and documentation for approval
- Prepare and finalize purchase orders or contracts for goods and services and other associated documentation necessary for review and approval by the supervisor
- Ensure appropriate policies and procedures are applied within the scope of responsibilities
- Maintain office inventory list and regularly update it with any new equipment
- Provide office administrative, accounting and logistical support
- Manage vehicle movements
- Assist in organization of workshops, meetings and conferences including preparing and organizing invitations, confirmations, scheduling and preparing logistics
- Reviews drivers maintenance records and log books to ensure that proper records are maintained for office vehicles
- Maintain electronic and hard-copy of all procurement documentation
Eligibility Criteria
Educational Qualification & Required Skills:
- You possess a degree in management or related field
- Experience working on agricultural projects funded by donors, particularly USAID will be an added advantage
- Computer literate, excel, Microsoft word, internet
- Professionalism: able to exercise sound judgment, pay great attention to detail, work well in a team, culturally sensitive, demonstrate appreciation for different cultures and practices, project a positive image, self-motivated and able to recommend options for resolution of issues, good organizational skills, possess utmost discretion, and professionalism
- Ability to work with minimal guidance and manage priorities and workflow
- Ability to work under tight deadlines with changing priorities
- Ability to be a team player
Required Experience: 5 years work experience, experience in an international setting or NGO a plus, notable experience in administration a must
