EGM, or the Export General Manifest has to be filed with the Custom authorities before the freight forwarder’s transport (carrying cargo for delivery to other countries) departs from India or within 7 days of departure. The information filed with the authorities includes details about the shipments that are on the carrier. EGM is filed for ocean vessels and air shipments while an Export Report is filed when land transport is used. The responsibility to file the EGM rests on the carrier.

Difference between shipping bill and EGM?
The manual EGM filing includes copies of the shipping bills. Exporters from India are required to file for shipping bills before they bring consignments out of the country. Hence, it can be seen that shipping bills need to be available first before an EGM can be filed. Moreover, the responsibility to file for shipping bills is on the exporter while the responsibility to file for EGM is on the carrier. Customs will only let a shipment be exported after receiving the shipping Bill filing and related documents, while the EGM is filed after an export takes place.
It must be noted that without the EGM filing, the authorities will not release the export promotion copy of the shipping bills to exporters.

Information filed on an EGM?
EGM filings contain information such as the shipping bill reference number and count of packages which have been loaded onto the carrier.
The EGM filing actually consists of several documents:
- Cargo manifest containing information such as:
- Port of destination
- Vessel name
- Captain’s name and flag.
- Description of goods
- Number and marks on packages
- Consignor information
- Consignee information
- Shipping bill numbers
- Port dues receipt numbers
- Vessel’s stores list containing information such as:
- General particulars such as name of the vessel,
- Name of the Captain
- Date of arrival
- Information on alcoholic beverages in stock and issued for consumption
- Information on tobacco products in stock and issued for consumption
- Information on arms and ammunition
- Information on explosives
- Vessel’s currency, upon arrival and amount taken on board
- Particulars of dangerous drugs on board
- Information on wireless apparatus on board
- Information on mineral oil
- List of private property in possession of master, officers and crew
- Arrival from and departure to information
- Names of all crew members
- Designations of all crew members
- Information on all crew members currency and valuables
