JOB SUMMARY
As a member of the Supply Chain Operation Group, the Purchasing Manager - Hotel is responsible for end to end purchasing for the hotel segment of the fleet. This role will follow the approved company sourcing strategy and include supplier relationship management, working with logistics to ensure delivery of product within tight timelines, in coordination with accounting the timely and efficient processing of invoices, work in conjunction with warehouse team to maintain adequate stock levels for the fleet, and effectively interact with other departments to fulfill purchasing needs as required.

ESSENTIAL DUTIES
To perform this job successfully, the employee must be able to perform each essential duty satisfactorily. Additional duties may be assigned at any time.
Purchasing
Purchases approved requisitions for the vessel's hotel department to meet tight delivery windows at various domestic and international ports, with the goal of meeting complete fulfillment of orders.
Negotiate price agreements with suppliers, obtain bids, conduct cost/benefit analysis for bulk purchases as required.
Works primarily with the hotel department to identify products and suppliers best suited to provide goods and services according to the company's value and mission.
Plans and effectively communicates provisioning schedules in conjunction with logistics and warehouse teams, in coordination with various port agencies.
Issue commercial invoices as part of shipping manifests with information as required.
Provides additional support for the Supply Chain Operations as requested.
Supports other Purchasing Managers as required and directed by Director of Supply Chain Operations.
It is expected that this position will participate in future cross-training and process improvement activities as part of the Supply Chain Operations Team.
Provisions
Conducts product research, makes product recommendations, and continually updates product specifications.
Interfaces with suppliers, Manager Hotel Services, Director of Hotel Services and outside food and beverage support.
Continually evaluates sources of supply and research new provision possibilities.
Visits vendors at times and verifies the quality of provisions, organization, packing and operational efficiency.
Conducts supplier site visits and attends industry events/trade shows as requested by the Director of Supply Chain.
Ensures proper product specifications are adhered to for all deliveries.
Follow up with vessel after delivery, communicate concerns to vendors. Provide follow up support to vessels as needed to assure service levels have been met.
Hotel department upgrade/refurbishment projects & shipyard support
Provides support for vessel projects (Budget research, purchasing and logistics coordination)
Provides remote shipyard purchasing support activities as needed (liaison with onsite Technical Purchasing representative) or other departments as required.
Administrative
Review invoices for discrepancies, follow up with suppliers and hotel department accordingly to ensure company is not charged for product it did not receive.
Adhere to all accounting policies and procedures as related to invoice and payment process.
Code invoices to appropriate accounts according to published accounting guidelines.
Reconcile purchasing credit card monthly per Accounting Department process.
Required Qualifications
Associates Degree in Supply Chain Management, Business Management or 2-3 years hospitality purchasing experience, preferably in passenger vessel environment.
Experience in food and beverage purchasing and/or hotel or restaurant purchasing required.
Strong international logistics experience.
Preferred Qualifications
Preferred Bachelor's Degree in Supply Chain, Business Management. 5 or more years previous marine/cruise industry hotel food and beverage purchasing experience, preferably in a passenger vessel environment.
Extensive experience in food and beverage purchasing and/or hotel or restaurant purchasing.
Strong international logistics experience.
Skills/Abilities
Strong skills in data base management, data entry, and organizational filing. Knowledge of MXP and NS5 systems preferred but not required.
Proficient computer skills in the Windows operating system, including both word-processing and spreadsheet applications.
While performing the duties of this job, the employee is frequently required to sit, talk, and hear. The employee will also be required to write and type. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must frequently lift and/or move up to ten pounds and occasionally lift and/or move up to fifty pounds.
Strong skills in time management, managing multiple tasks, setting priorities, and meeting deadlines.
The ability to work independently as well as with others in a team environment.
Occasional travel may be required.
Availability to communicate 24/7 is required
Must possess or be able to obtain a valid driver's license.
