 Job Title: Proposal Writing and General Administration

Location: Lucknow
Job Overview:
Key player in the organization's success by managing HR functions such as posting job openings, onboarding staff, coordinating annual reviews, and refining HR processes. Additionally, oversees operations support, including pre-solicitation proposal preparations, bid planning, teaming, technical design, and major tender and proposal submissions, ensuring efficient and effective processes across the board.
Duties and Responsibilities:
1. Executive Assistance: Provide comprehensive executive assistance to the CEO, ensuring thorough preparation and access to the necessary knowledge, information, and procedures to optimize the benefits of program activities for the organization.
Support management in external partner collaborations and aid senior management in the Search and Evaluation (S&E) of potential collaborators. Develop key strategic objectives and benefits for each diligence.
3. Program Formulation and Project Management:
Contribute information for the formulation of programs, preparation of project documents, work plans, budgets, and implementation proposals. Monitor critical paths, meetings, and project plans to ensure timely delivery of all outlined deliverables.
4. Project Consultant Agreements and Procurement:
Develop and process project consultant agreements, subcontracts, letter agreements, purchase orders, grants, etc. Ensure proactive issue management and problem-solving for contractual compliance with World Bank and other donor agencies.
5. Communication and Invoicing:
Maintain project-wide communication channels, review and process invoices from consultants, subcontractors, grantees, and vendors. Track and record deliverables to ensure financial and contractual obligations are met.
6. Human Resources Management:
Implement HR policies and information systems. Post new job openings, assist with drafting job descriptions, and support certification exercises and operations. Facilitate the staff onboarding process, coordinate annual reviews, and manage the timesheet process for temporary workers.
7. Recruitment and Internship Program:
Assist with the recruitment process for the internship program, managing applications, and coordinating interview processes with supervisors. Support initial onboarding and contribute to the refinement of HR processes.
8. Operations Support:
Manage pre-solicitation proposal preparations, bid planning, and major open tenders. Oversee teaming, bid strategy, technical design, cost proposals, RFPs, capacity statements, internal reviews, and quality control processes. Draft sections of proposals as needed.
Qualifications:
· MBA, MSW, Law, MPH or related field from a reputed college.
· 3+ years of experience in General Administration and Proposal writing.
