Deploy and configure the Webex Scheduler for Microsoft Outlook

In any browser, users of Microsoft Outlook can schedule Webex meetings and Webex Personal Room meetings directly from Outlook, using the Webex Scheduler that is available for Windows, Mac, iPad, and iPhone. To deploy Webex Scheduler to users, you can use the Microsoft Store as a deployment method. To configure the settings, use Webex Administration or Control Hub.

The Webex Scheduler for Microsoft Outlook can be deployed by installing it from Microsoft AppSource and following the instructions on how to deploy add-ins from the Admin Center under Deploy add-ins. It can also be installed locally if you wish.

It is not possible to enable Webex Scheduler for Microsoft 365 simultaneously with an on-premises Microsoft Exchange integration that integrates with Microsoft 365. There is a choice to be made between the two.

Prepare your environment

You should check to ensure that you meet the minimum system requirements before you deploy the Webex Scheduler for Microsoft Outlook. Please see the attached list of requirements and the current limitations and issues that have been identified.

It is important that you ensure that your Webex site version is WBS39.1 or later in order for the Webex Scheduler to work properly. Please refer to Find your Webex Meetings version number to find out what version you are using.

Depending on your network configuration, you might have to set up Webex Scheduler so that it can access the following URLs:

  • https://cdnjs.cloudflare.com—for AngularJS and other JS lib.

  • https://cdn.jsdelivr.net—for UUID lib.

  • https://static2.sharepointonline.com—for OfficeUI fabric CSS style.

  • https://appsforoffice.microsoft.com—for OfficeJS lib.

Webex Scheduler authorization options

It is described on this page how you can use the administrator account that you have created for your Microsoft 365 tenant for all of your tenants to authorize Webex Scheduler for everyone within the tenant.

Alternatively, you may wish to have each individual user authorize Webex to access their M365 account through the M365 account setup as suggested below, rather than adding a new authorization.

For authorization, you will need the following permissions.

Enable and authorize the Webex Scheduler for your site:

  • Open your site options page.

    • Webex administration:

      Go to the configuration menu and select Configure > Common Site Settings > Options once you have logged into the Webex Administration page.

    • Control Hub:

      1. When you are logged into the admin section of https://admin.webex.com, go to Services > Meetings in the customer view.

      2. Choose a Webex site from the Sites tab, and then click on the Settings button on the left.

      3. Select Common Settings > Site Options from the menu at the top of the page.

  • Find Microsoft (Microsoft 365 and Microsoft Teams) in the Third-Party Integration section of the navigation bar.

  • Whenever a user’s Webex account email address matches their Microsoft 365 email address, and if the Webex account email address a user has is the same as the email address they have on their Microsoft 365 account, then automatically link the user to this site.

  • Accessing Microsoft 365 through Webex requires the following authorization:

    1. You can add new authorizations by clicking the Add New Authorization button.

      There will be a new window that opens where you can log in. It may be necessary for you to select a user account before you can proceed.

    2. Log in using the administrator account that you have with Microsoft.

      As soon as you have successfully logged into Webex, you will be able to see what permissions you have granted.

    3. Click Accept after reviewing the permissions that have been requested.

When you refresh the page, you will see the Tenant ID field has been updated along with the Tenant Domain field.

Enable Webex Scheduler for Exchange (or M365 without authorization)

  • You can open the options page for your site by clicking on it.

    • Webex Administration:

      Go to Configuration > Common Site Settings > Options in Webex Administration and log in to your account.

    • Control Hub:

      1. The customer view in Webex is found by going to Services > Meetings from the customer view in Webex.

      2. Choose a Webex site from the Sites tab, and then click on the Settings button on the left.

      3. Select Common Settings > Site Options from the menu at the top of the page.

  • Microsoft Outlook Integrations without Microsoft 365 Authorization can be found under Third-Party Integrations in the Microsoft Outlook section.

  • If enabled, Webex Meetings will be able to access Microsoft 365 account information, and Webex Meetings will not be able to access Microsoft Outlook account information.

  • Click the Update button if you are an administrator of Webex.

Configure the Webex Scheduler for Microsoft 365 (GCC or GCC High)

There is a need to enable Webex Scheduler on Microsoft GCC/GCC High systems in order to use Webex. It is recommended that if you do not have to comply with US government regulations, that you read the section in this article on Configuring the Webex Scheduler for Microsoft 365 (commercial).

Before you begin

As part of this task, you will learn how to authorize the Webex Scheduler for all of your organization’s employees in your Government, Commercial, and the Military sector using your Microsoft 365 GCC / GCC High tenant administrator account.

If you do not want to add new authorizations in M365, but rather that individual users authorize Webex to access their M365 accounts directly, do not apply the steps below. To find out what permissions you need to authorize your account, click here.

  • Go to the site options page by clicking on the following link:
  • Webex Administration:

    Go to the configuration menu and select Configure > Common Site Settings > Options once you have logged into the Webex Administration page.

  • Control Hub:

    1. The customer view in Webex is found by going to Services > Meetings from the customer view in Webex.

    2. Choose a Webex site from the Sites tab, and then click on the Settings button on the left.

    3. The Common Settings menu can be found under the Site Options section of the menu.

  • Find Microsoft (Microsoft 365 and Microsoft Teams) in the Third-Party Integration section of the navigation bar.

  • You have the option of selecting GCC or GCC High.

There are two types of FedRAMP authorization, moderate and high, and what your organization requires will determine which one you choose.

  • Whenever a user’s Webex account email address matches their Microsoft 365 email address, and if the Webex account email address a user has is the same as the email address they have on their Microsoft 365 account, then automatically link the user to this site.
  • Accessing Microsoft 365 through Webex requires the following authorization:
  1. The next step is to click on Add New Authorization.

    The new window opens with a sign-in option. Click on the link at the top. Your account may need to be selected before you can proceed.

  2. Log in using the administrator account that you have with Microsoft.

    In order to use GCC or GCC High on your account, you must have your account authorized as such.

    Once you have successfully signed in to Webex, you will be able to see what permissions you have granted to the application.

  3. Click Accept after reviewing the permissions that have been requested.

When you refresh the page, you will see the Tenant ID field has been updated along with the Tenant Domain field.
