It seems like a routine day at work. You are going about your tasks, when suddenly your inbox dings and you have received a curt mail from a colleague. Before you know it, you have drafted an equally scathing response, and hit the send before you have time to calm down and analyse the situation.

Often our responses at work are more of a reaction, than response. And when this happens, we may end up sending a Rude Email, that only escalates the issue, instead of resolving it. Sometimes, we even send a smarting email to the wrong person, because we were too angry to check the recipients.

So, what do you do to control the damage after shooting off an angry mail?

Ensure It Is Intentional

Sometimes it is necessary to send a Rude email to get a message across. If that is the case, then you have to spell out your complain, without sounding ambiguous and vague. Sometimes, a rude email does the trick to get a point across, when everything else seems to fail.

Follow Up Fast

The best thing to do is to recall the mail immediately, or at least follow up by checking in with the recipient. Damage control is more effective when it is faster. There is no easier way of doing this than actually spelling it out, by apologising for the mail last sent.

Rekha Rao, General Manager at 20-20 MSL, says, “If I send a rude email by mistake, I immediately apologise. Even call the person if it is necessary. But mostly, I send such a mail only when it is absolutely necessary. Then I consider the consequences before-hand, and remain prepared for them.”

If you have sent a mail by mistake to the wrong person, say a client, instead of a colleague, it can get quite serious. Under such circumstances, it is better to admit your mistake to the boss. And take whatever action seems fit to correct your folly.
