7 Office Hacks That Make Work Easier

Are your employees engaged and enthusiastic at work? Or, are they constantly looking at the clock and counting down the seconds until they get to leave?

It’s easy to blame the people who work for you when you see enthusiasm and productivity decrease. But, the environment in your Office is a major contributor to your employees’ overall engagement (or lack thereof).

If you want to see improvements in the way your employees work, you might want to give these Office Hacks a try to boost morale and enhance efficiency and productivity.

1. Encourage Movement

If you want your employees to feel motivated, happy, and productive, don’t chain them to one desk for hours at a time. Instead, give them opportunities to move around and work in different environments.

Let them get up from their desk and work in the conference room for a couple hours. Or, encourage employees to take phone calls or have meetings while walking around outside.

Not only does a change of scenery help employees feel more productive and creative, but it also encourages them to get a little extra exercise in throughout the day.

The sedentary nature of office work wreaks havoc on millions of Americans’ health, partly because of the stress that comes from staying stagnant all day.

It’s not uncommon for people to feel stressed out at work, and the majority of those who experience stress also feel that it hinders their productivity. To get more out of your employees, encourage them to exercise to reduce stress and improve their overall health.

2. Clean Up the Air

Improving the air quality of your office can significantly reduce the number of sick days your employees take each year. But, it can also boost overall workplace satisfaction.

Researchers have found that workplaces that had higher concentrations of carbon dioxide and small particle pollution are linked to lower workplace satisfaction. They’ve also noted that poor air quality can reduce productivity by up to nine percent!

There are lots of ways to improve the air quality of your office. A totally free solution is to simply open up the windows on nice days and let fresh, clean air circulate. You can also invest in an air purifier — just make sure it’s quiet, as a noisy unit can be distracting.

3. Clear Clutter

Clutter is extremely distracting and can make it difficult for employees to stay focused. If your office is a chaotic place full of loose papers and overflowing file cabinets, it might be affecting your employees’ productivity.

Even if clutter doesn’t bother you, personally, it’s worth it to look into ways to tidy up the office, especially if it helps your employees stay on task.

Start by cleaning up common areas — the lobby, the area around the copy machine, the conference room, etc. Then, encourage your employees to keep their personal workspaces neat and tidy, too.

This might be easier for some than others, and you definitely don’t want to be a nag. Over time, though, employees might find that they actually prefer the look and feel of a clean workspace compared to a cluttered one and will feel motivated to make their space a little neater.

4. Add Some Color

Color has a powerful effect on people’s mood and overall mental health. Certain colors promote energetic feelings while others can bring you down and make you feel lethargic.

Consider adding bright, cheerful colors like yellow and orange to your workplace.

You might not be able to paint all the walls of your office, of course. But, you can find ways to introduce more color into an otherwise drab room.

Consider bringing in yellow and orange decorations, flowers, or curtains to hang on the windows. You’ll be amazed at how much simple changes can brighten up a room and keep your employees feeling energized and focused.

5. Invest in a Telephone Answering Service

You know how annoying it is to get unsolicited phone calls on your cell phone. Well, it’s just as annoying when they’re coming into your office.

If the phone in your office is always ringing, it’s probably distracting your workers.

To cut down on interruptions, especially during high-stress times, consider investing in a telephone answering service for your office.

This is a great tool for redirecting phone calls and making sure they get sent to the right department without pulling an employee immediately away from an important task.

6. Increase Nature Exposure

In the same way that color improves mood and productivity, so does spending time in nature.

It might not possible for you to expose your employees to the great outdoors while at work, especially if your office is located in a busy city. But, you can bring elements of nature into the office and still reap many of the same benefits.

Flowers are a great option, as are potted plants that are easy to maintain.

In addition to being pleasing to look at, plants also take in carbon dioxide and add more oxygen to the air. This helps purify the air in your office and improves your employees’ energy and mood.

7. Upgrade Workspaces

Finally, take a look at the way your employees are working. Are they hunched over their desks? Are they constantly stretching to stave off back pain?

By upgrading your employees’ workstations to make them more ergonomic, you can help them feel more comfortable and, by default, more productive.

Look for high-quality office chairs that provide plenty of back support. You may also want to help employees adjust their desks so that they can sit with good posture and minimize strain on their necks and backs.

At the same time, make sure your employees are taking breaks regularly to get up and move around (refer to the first office hack). This helps relieve stress and it prevents eye strain from staring at the computer screen.
