5 Tips for Avoiding Technical Difficulties at Your Next Trade Show

exhibit rentalThe trade show is tomorrow and as you’re setting up for the event, you find that none of your images are appearing on the monitor and your sound isn’t working at all. You have no idea what to do and the AV technician is nowhere to be found. You panic.

There are a few things that can make or break your event, and Technical issues are definitely one of them. Nothing reflects more poorly on a company than a disastrous trade show booth. Here are five tips on how to avoid AV disasters at your next trade show.

  1. Know the file types. Find out what types of files you are using in your presentation. Basic types commonly used in trade show exhibit designs include: MPG, WMV, MP4, AVI, and MOV. Talk to the installation technicians, AV rental service, or your exhibit rental provider so that they know what kind of devices and hardware you will need at your booth.
  2. Prepare your content in advance. Make sure your content is ready well before the show and test it on the same model of TV or computer that you plan to use. If the exhibit rentals provider will be setting up your booth, send them the content beforehand so that they can incorporate your AV needs into the staging.
  3. Know your cords. Make sure you have a basic idea of what cords you need and what each one does. Here is some information about cords that may help:
    • HDMI – High Definition Multimedia Interface cords connect high definition equipment and transmit video, audio, and data. Most televisions today have at least one HDMI connector.
    • USB – Universal Serial Bus cables charge devices and provide data connection. There are four different kinds of USB cables, so make sure you double check which types are needed for your devices.
    • DVI – Digital Visual Interface cords transmit digital video from a computer to a monitor.
    • Ethernet Cable – These are used to connect a device to wired internet.
  4. Consult an AV specialist. If you are not the most technical person, make sure that you have someone on your team at the trade show who can step in if something goes totally wrong.
  5. Learn some troubleshooting tricks. Be prepared for problems and technical issues and learn how to fix them ahead of time. For example, if your touchscreen isn’t working, unplug both the power cord and the USB and plug them back in.

About half of the largest 200 shows in the U.S. currently take place in just three cities: Las Vegas, Chicago, and Orlando. If you are traveling far from home for a trade show, make sure you are fully prepared and have packed, shipped, or ordered every piece of AV equipment you will need for your Exhibit rental.
